The offer
What exactly does a ChairsideWeb site include for a dental group?
A ChairsideWeb site includes a page for every office, every provider and every service you offer, a location and provider finder that takes a patient from a service and a town to the right front desk, booking requests routed into that office's CRM or practice system, a free domain, managed hosting, 2 researched articles a week and weekly detail updates. It is designed, hand-coded, hosted and kept accurate by us on one monthly fee, with the $797 build fee invoiced only after launch.
Should a dental group have one hub website or one site per location?
Most groups do best with one hub that carries a page per office, because reviews, articles and brand authority pool in one place and each office still gets its own address, hours, providers and schema. One site per location makes sense when offices trade under different names, serve distant markets or must stay separable for a future sale. We build either structure, and both use the same finder and the same per-office booking routing.
Is ChairsideWeb a dental practice or a dental marketing agency?
Neither. ChairsideWeb is a website design and management company. We are not a dental practice, dental group, dentist or healthcare provider, we never give dental or medical advice, and content on client sites is general information rather than a diagnosis or treatment plan. We build and run the website; the clinical care, and every claim about it, stays with your practice.
How long until the site is live?
7 days on Chairside, 10 on Operatory Suite while the AI agents are trained per office, and 15 on Group with the Content Engine running. The clock starts at the onboarding call, not at purchase, so the sooner the onboarding form is in, the sooner every office is live.
Getting started
What happens straight after we buy?
You fill in the onboarding form and submit it. It asks for your offices, their hours, your providers, the services each office offers, your brand, your domain and where each office wants its booking requests to land, and it takes about 15 minutes. If something is missing, submit anyway: you can send the rest by email or raise it as a ticket in your client portal, and it will not hold up the build. We then run one onboarding call to fill the gaps and agree the launch date.
What is the client portal?
It is your account with us, and every client gets one the day the site goes live. From the portal you request revisions, raise a support ticket for anything that needs attention, send us files an office still owes us, and message the team directly. Everything to do with the site runs through it, so nothing is lost in a shared inbox. Nobody at your group ever logs in to the website itself; that side is ours.
Who from our group needs to be on the onboarding call?
One person who can answer for the whole group, usually the operations director or the marketing lead. Office managers do not need to attend; anything office-specific, such as a Saturday clinic or a provider who splits their week, can follow by email or as a portal ticket afterwards. The call runs about thirty minutes and covers offices, providers, services, brand, routing per front desk, and hub or one site per location.
Revisions and the client portal
What counts as a revision, and what happens after five in a month?
A revision is one change request, and there is no limit on how much goes into it. A new provider page, a rewritten implant service page, a changed layout on the hub: each is one revision. So is something much larger. "Build two new service pages for the downtown office, here is the copy and the images for both" is one revision, not four. 5 are included every month across every office, not per office. After the fifth, each additional revision is a flat $20, with no cap on how many you can buy and no hourly billing anywhere. Every revision is completed within 2 to 5 working days of you sending it, whatever the size. Unused revisions do not roll over.
How do we actually request a change?
Raise it in your client portal. You describe the change, attach anything we need, and it lands with the team as a tracked request so you can see where it is. Any office manager can be given portal access, so a change at one location does not have to route through head office first. You can also email us and we log it for you.
What are weekly detail updates, and do they use up revisions?
Weekly detail updates are the small facts that go stale across many offices: hours, holiday closures, a new hygienist, an insurance plan you stopped accepting, a provider moving between locations. Send them from any office and we apply them each week to the page, the schema and the finder together. They do not count against your revisions. Revisions are for changes to pages and structure; detail updates are for keeping every office accurate.
Articles
How many articles do you write, and who writes them?
2 researched articles a week on Chairside and Operatory Suite, 3 a week on Group, each 2,500 to 3,200 words. Our editorial team writes them from real sources and cites those sources on the page. They are general information for patients and families, never a diagnosis or treatment plan, and you can review any article before or after it goes live.
Can articles be written for a specific office or a specific specialty?
Yes. An article can be scoped to one office, for example a piece on what to expect at your downtown implant center, or to a specialty across the group, such as a guide to clear aligners for adults. Either way it links to the relevant service page, provider pages and the finder, so the article does a job for the office it is about rather than sitting on a generic blog.
Do articles ever give dental advice?
No. Every article is general information and says so. It explains what a procedure is, what questions to ask, how to prepare and how to book, and it points the reader to your providers for anything about their own mouth. We do not write treatment recommendations, and we do not make clinical claims on your behalf.
The AI Engine
What does the AI Engine do for a group with several front desks?
On Operatory Suite and Group the AI Engine answers calls when a front desk cannot, answers site chat, replies over SMS, Messenger and Instagram, and sends each booking request to the office the patient picked. It knows each office's hours, providers and services, it never gives dental advice, and it hands anything clinical to a person. A call-analysis PDF shows you what patients asked. A2P 10DLC registration for texting is filed by us.
How is AI usage billed on the Operatory Suite plan?
Operatory Suite is $297 a month plus usage. Usage is the AI minutes and messages your offices actually consume, billed monthly in arrears at what our providers charge us with nothing added. There is no minimum and no bundle to guess at, and you see the usage line on every invoice.
Can the AI receptionist be turned off for one office but not the others?
Yes. The AI Engine is configured per office. A busy flagship can keep its own front desk answering first and let the AI catch overflow, while a satellite office with a part-time desk can route everything to the AI outside its open hours. Each office keeps its own greeting, its own providers and its own booking destination.
Hosting and management
Is hosting an extra cost?
No. Hosting is included in the monthly fee and is never billed separately, however many offices are on the site. Your site runs on Cloudflare's global network with SSL, CDN, DDoS protection and unmetered bandwidth included. There is no hosting invoice, no SSL renewal, no bandwidth overage and no surprise line in month four. There is also no server for anyone at your group to maintain.
What happens if an office page goes down or gets slow?
Every page is a static file served from the edge, so there is very little that can go down. We monitor the site, keep backups and hold the guaranteed PageSpeed score on mobile and desktop. If a page falls below that score because of our work, we fix it at no charge and it does not use a revision.
Does anyone at our group need to log in to keep the site updated?
No. Fully managed means nobody at your group logs in to the website. Changes are raised in your client portal or sent by email, from head office or from an individual office manager, and we apply them. Weekly detail updates keep hours, providers and insurance current, and revisions cover everything larger. If you prefer a monthly check-in call to gather changes across offices, we run it.
Domains
Do we have to pay for a domain?
No. One domain is included free for as long as your plan is active, registered in your group's name through Cloudflare Registrar or Spaceship, so you own it outright. If you already have a domain we point it at the new site instead and nothing changes for patients who know your current address. If you ever leave, tell us where to send the domain and we transfer it at no charge.
Can each office keep its own domain?
Yes. Existing office domains can point to their location page on the hub, redirect to the hub, or stay as standalone sites if you choose one site per location. The free domain covers the main one; additional office domains you already own keep renewing with your registrar, and we configure them at no charge. Every domain stays registered to your group.
Moving from your current sites
We already have a site per office. How do you move us to a hub?
We map every existing page across your offices to its new address on the hub, keep every office page that ranks, and add 301 redirects from the old URLs so search engines follow the move. Reviews, provider bios and photos are carried across. You approve the map before launch. Old domains keep working as redirects for as long as you keep them registered.
Will moving the site hurt our rankings?
A move done with redirects, per-office pages and per-office schema is designed to preserve what already ranks, and offices that had no page of their own before usually gain one. We cannot promise a specific position for any office. Our guarantee is that the site starts ranking for local searches in your area within 3 to 5 months, and we keep working on it at no charge until it does.
Billing and cancellation
What do we actually pay, and when?
You pay the monthly fee for the plan you choose up front: $137 for Chairside, $297 plus AI usage for Operatory Suite, or $747 for Group. The $797 one-time build fee is invoiced only after the site is live and you are satisfied with it. The domain and the hosting are inside the monthly figure. There are no per-office fees.
Is the monthly fee per office or per group?
Per group. One monthly fee covers every office on the site, however many you have, on a hub or on separate sites within the same plan. Adding an office is a revision, not a new subscription. The $797 build fee is also charged once for the whole group, not once per location.
How do we cancel, and how much notice do you need?
Email us and say you want to cancel. Your message must reach us at least 2 business days before your next invoice date, during business hours, which are 9:00 to 17:00 Central Time, Monday to Friday, excluding US public holidays. A message sent outside those hours counts from the start of the next business day, so a weekend email does not give 2 business days of notice for an invoice due Monday or Tuesday. With valid notice, no further invoice is raised and the site runs to the end of the month you have paid for. With late notice, the next invoice is charged as normal and the cancellation takes effect at the end of that month.
Do you offer refunds?
No. All sales are final, and that includes monthly fees, the build fee, extra revisions and any cost we pass through at what our providers charge us. We do not refund for a change of mind or for a month you did not use. The one exception is a duplicate or incorrect charge made by our billing: tell us within 30 days and we correct it within 10 working days. The build fee is charged only after you have approved the site, which is exactly why it is not refundable afterwards.
What happens to the domain and the site if we cancel?
The domain is yours and stays yours. We transfer it to your registrar account on request at no charge. Within 14 days of cancellation we provide an export of your content and articles so nothing you paid to have written is lost. The design and the code stay ours, as the terms set out.
